Office Manager

Under the guidance of the Operation Controller and in conjunction with the Financial Controller and yard managers the office manager is responsible for leading a team of highly skilled administrative professionals responsible for ensuring timely and accurate recordation of all commodity and cattle transactions at the five cattle feeding locations in the Boardman and Hermiston area.

Location:           Boardman, OR
                           Monday – Friday and the last day of the month regardless of when it falls
 
Requirements:

  • Facilitate the production and distribution of accurate, consistent, timely and professional work.
  • Maintain communication with Operations Controller, General Manager, Yard Managers and other team members at the feedyard and North Powder locations.
  • High attention to detail.
  • Excellent organization, communication and time management skills.
  • Maintain confidentiality.
  • Goal completion.
Primary Responsibilities:
  • Hiring, training and management of staff (four direct reports/team of seven total).
  • Facilitation, oversight and process verification of commodity accounting and quality assurance processes including scale operations, sampling, dry matter reporting, contract management, ticket entry, commodity AP, freight entry and verification, commodity scheduling and inventory.
  • Facilitation, oversight and process verification of cattle accounting processes including daily processing of feed and vet records, all cattle movement transactions, customer correspondence, medicine inventory, cattle proceed records, breakevens, customer invoices and lot closeouts.
  • Facilitation and oversight of bi-monthly trade payable process and monthly purchase card reconciliation.
  • Facilitation of ration changes, ration pricing and intercompany commodity transactions.
  • Facilitation of monthly fuel inventory process.
  • Assist with completion of the annual budget.  Ensure budget reporting and meeting follow-up processes are met.
  • Timecard and PTO maintenance in payroll program.
  • Facilitation of quality assurance and compliance programs.  Ensure licensing requirements are adhered to.
  • Assist yard managers and employees with computer work, projects and reporting as needed.
Qualifications:
  • Good computer skills including Excel experience
  • Strong communication skills (written and oral)
  • High attention to detail and organization
  • Ability to adhere to protocol and quality assurance standards
  • Strong interpersonal skills
  • Flexibility and interest in the feedlot industry
Preferred qualifications include minimum of an Associate's degree (AA) in Accounting, Business Administration, or a related field, or 3-5 years of direct office management experience, including supervising a team of at least two direct reports.
